Manage the guest list

Search guests, review requests, promote the waitlist, and record event-day handouts.

Where to go
Open the event → Guests.
Who can use it
View access to read guests; guest-management access to change them; finance access for settlements.
Jump to a task

Find and inspect a guest

  1. Search by name, email, or phone.
  2. Open Filters to choose status, ticket, payment status, and sort order. Use Done to return, or reset the filters to broaden the list.
  3. Open the guest’s details to see their contact information, ticket, registration time, answers, and check-in state.
  4. Use pagination to reach further results.

What happens nextYou can inspect the matching guest records.

Approve, reject, or waitlist guests

  1. Review the guest’s answers and ticket requirements.
  2. Use Approve or Reject beside a pending guest. For bulk changes, select guest checkboxes and choose Approve, Waitlist, or Reject.
  3. Check the updated statuses. Use Clear to clear the bulk selection.

What happens nextThe selected guests’ status changes subject to event rules.

Approval does not bypass a required payment. Rejected guests need resubmission permission to make a new registration.

Promote a waitlisted guest

  1. Make sure a place is available for the event and ticket.
  2. Find the waitlisted guest and select Promote.
  3. Review the resulting status and any remaining payment requirement.

What happens nextThe guest moves off the waitlist when the operation succeeds.

Record or undo food and goodies handouts

  1. Find the guest and check their current Food or Goodies status.
  2. Select the relevant control when the item is handed out.
  3. Select the issued control again to undo a mistaken mark.

What happens nextThe issue timestamp records the handout, or is cleared by undo.

Read approval history

  1. Open the guest’s details.
  2. Expand Approval history.
  3. Review the recorded changes and times before making another decision.

What happens nextYou can see the registration’s decision history.

Export the guest list

  1. Apply the filters you need and check the records on the current page.
  2. Open Export and choose CSV or Excel.
  3. Save the downloaded file and review the attendee details and answers.

What happens nextThe export contains the filtered rows on the current page, with attendee details, answers, and report information. Repeat on other pages if needed.

Treat attendee contact details and uploaded responses as private event data.
